First of all, I did not know what a CRM tool was. Insightly's free plan for two users was probably the best thing they could have done get us interested in the CRM tools.
I wish that when you abandon, cancel or suspend a opportunity or project, the tasks also inherit the same state.
Managing all of our opportunities and leads as we are getting the business up and running.
Simply put, Insightly just works. It's a fantastic way to monitor your sales pipeline as well as manage on-going clients and other projects. I have implemented this software for my event/party band -- managing both potential clients and all of the details from contract to event day. I have also implemented this software for my wife's tutoring business -- managing potential new families through a complex enrollment process, through the entire term of enrollment and through the process of withdrawing from our center. The software has helped us keep a better pulse on the day-to-day operations of the business, provided great reporting (both high-level and detailed custom reports), created and managed accountability, and ensured that nothing ever gets missed!
There are a few functional components that seem a little weird, at times. Sometimes when you complete a past-due recurring task, the task disappears. So, I've had to create a list of our recurring tasks and audit periodically to ensure they're all still in the system. Besides that, a "bulk delete task" function from within a lead, opportunity or project would be amazing. In the sales pipeline, we use a certain number of "follow-ups" before we close a dead-lead. However, if a client reaches out after the first follow up, we have to manually delete the remainder of the tasks in that activity set. I also ran into issues with the email templates and server, so I've long since abandoned using email via Insightly.
The business problems we're using Insightly to solve are mainly keeping up on the day-to-day responsibilities of client management (sales pipelines and client pipelines). The main benefit we've realized is never dropping the ball because we forgot. We all run into capacity constraints, but Insightly has helped us realize the need for delegation because it has shined a light on accountability in our organization.
The ease of getting information from Insightly my phone or computer. The ease of entering information into Insightly. The ability to set targets and goals and to track my progress. Insightly makes it easy to classify and group organizations and contacts in to workable groups.
There is a lot of extra work when entering information.
It keeps all my contact information in one place making it easier to communicate which generates more sales and profit.

Very simple to set up and use all the main features with minimal training or guidance. Insightly provides each user with a unique email address that you can BCC to all sales correspondence which then automatically appends to the Contact info in Insightly.
A little fiddles to view Contacts and Organization all in one place - a little disjointed.
A great way to simply administer all your sales activities.
From the contact integration and side bar extension with Gmail to the ability to create Tasks, Activity Sets, and Projects to manage existing client relationships an develop systematic courses of action for new clients Insightly is a very well rounded CRM / Practice management tool. From Leads to Opportunities and in finally Customers the tools gives you the ability to track the client relationship from start through he entire engagement.
I would love to see a better integration with Outlook and increased functionality in the Google G-mail Side bar.
we use this too to manage our existing client relationships and weekly/monthly/quarterly tasks as well as maintaining a consistent and accurate contact list through out the company. Our sales team is also able to use Insightly to track Leads/Opportunities/ and in the end closed Clients.
I like the integration ability the best. I like how I can easily save emails from my Outlook, upload notes from my Evernote, and transfer customers into my Quickbooks Online.
Sometimes the built-in tools for Outlook don't work.
I love the important date reminders and the task reminders that show up in my Outlook. It makes it all very convenient. I have solved the problem of sales agents not being able to find customer contact information because the customer started off talking to a different agent. Now when someone says "Where is John Doe's phone number?" I can just say "Insightly"
Insightly is very easy to setup for a small and startup business that doesn't know too much on how to work a CRM.
Some part of Insightly can be a bit technical, but there is always help in their forums...
We needed to keep much better track of our communication with our leads and opportunities. Insightly allowed us to do so - It also made us think our whole process over and actually agree on how to approach our customers.
We subscribed to Insightly on day 1 of our new business as we needed a contact management system that lived in the Google Apps eco-system. The ease of contact migration (from email systems) was a huge first step. Its speed allowed us to review our 'whole of team' contacts and cross reference what accounts we had the best overview and relationships in. We built our Go to market plan based upon those relationships and quickly named target accounts and built out a sales funnel. customizing that funnel was simple, intuitive and custom to our model. As we worked through the pipeline we created and had to build proposals, the link to Google Document Management (Google Drive) was easy and allowed for us to see the proposal as we built it through the CRM and the pipeline steps. We now use it to email campaign, track sales people activity and pipelines and leverage a global sales team to sell around the world in any timezone. Insightly scales and innovates with our business and with our evolving business model. In short we could not live without it.
The challenge they have (at times) is the innovate from the 'contact perspective' indicating they value clients who have small client bases or retail client bases. We sell to publicly listed companies and governments and that model demands we look at large accounts plans and larger activities outside of a retail approach. Fortunately they are a very flexible platform for 'work-arounds'.
We use the system to 'micro-source' as such we take large processes and outsource small segments of the process to overseas partners reducing our cost of delivery by 94%. Our competitors simply cannot keep up with our quality nor flexible delivery
Insightly is a great CRM for a small business. It's much more affordable than alternatives like Pitchbook or Salesforce. It's highly customizable for different businesses. For example, you can design your own sales pipeline that fits your business's standard operating procedures. It's also great for organizing all of your business contacts. By linking those contacts to each pipeline, you can quickly brush up on the background of the company before reaching out to them to continue the sales process.
I don't like that you can't switch primary emails. I created my account before I was given my company email. As a result, it still links to my gmail. Consequently, when I link emails to Insightly, I need to manually copy and paste an address in the BCC section when I send out emails. Having it linked to my gmail also linked all my social media sites to my account, which was kind of embarrassing.
We use Insightly to organize our clients and to keep track of which employee reached out to whom, what their conversation was, and what stage we're at with that client. Because we reach out to so many clients, it helps us quickly look back to see where we left off with each. It also prevents employees from accidentally reaching out to clients that we've already engaged, which can be embarrassing. Insightly also makes our sales process more efficient by speeding up searching for sent emails, contact information, and organization information.
I like how easy the CRM is to navigate, and the accessibility of the mobile app.
I dislike that Insightly doesn't easily integrate with marketing programs (i.e. Marketo, etc.)

Best thing about Insight CRM is it's contact management, as this CRM makes it easy to manage our contacts and sales leads. Also, I ssight CRM is a great help when it comes to manage our tasts efficintly everyday.
Although I have a very good overall experience with this CRM but I would say that it is relatively expensive than it's competitors and the user interface could also be upgraded

Insightly provides the opportunity to display a vast array of information and proves to be detailed and provides the opportunity to locate specific details needed when working on projects.The reporting is extremely helpful, and the capability to capture details that are important in everyday work and tasks.
Notes. If there was a way to provide a better layout for notes, in chronoligical order, or possibly even a date stamp, that would be wonderful.

Insightly has been a very crucial CRM for our business. It's very easy to use and intuitive to customize for our unique business needs. Support is great and always available to steer me in the right direction when I have questions or want to utilize features in a certain way.
There are some elements that are a little clunky. For example, when a system user's access is removed, they still show up in Insightly with the "System User" tag. Also, you can't have dynamic page layouts based on certain fields. Little things like that make it just a little more cumbersome to use.
Insightly streamlines our contact information across departments, so no matter what information you need, it can be found in the system. We can more easily report on the data and begin to see patterns in the contacts we work with.
The order in documents and paperwork! Easy to find what I need and very helpful and common sense.
The speed, it takes a while sometimes and it's hard to wait when u have to do something urgently.
